Retail Sales Coordinator

Job Summary

The Retail Sales Coordinator (RSC) will report to and support the Director of Sales – Retail with all customer and company related responsibilities.

The RSC position requires strong organizational skills and the ability to work on multiple projects at the same time. The RSC requires a skilled, professional communicator who can work in a fast-paced environment with multiple cross-functional team members. The RSC will also assist the West sales team by handling various sales support tasks.

Role and Responsibilities

  • Works closely with Director of Sales - Retail to support customer relationships.
  • Ensures customer requests are met which requires coordination with multiple internal team members.
  • Coordinates RFPs, RFI’s, Audits and Surveys
  • Submits and tracks sample requests and reviews launch samples for new products to verify product matches customer specifications prior to shipping prior to account for review.
  • Inputs Pricing into portals, New Item Set Up, Item Maintenance, New Customer Set Up, New Distribution Center Set Up, Packaging Set Up and Maintenance
  • Assembles customer specs
  • Reviews retailer promotional activity results vs. promotional dollars spent to determine the ROI of the promotion.
  • Manages accrual funds including tracking spend and monthly status updates.
  • Manages demo scheduling.
  • Tracks Culinary, Finance, Regulatory requests that are not associated with a “Project”
  • Schedules/updates meetings internally and with customers, takes notes and communicate updates and needs to the internal team.
  • Attends internal meetings related to customer projects, packaging, etc.
  • Assists on reviewing artwork proofs
  • Assists with assembly of customer presentation decks
  • Pulls documents from NPD portal
  • Completes customer IRI sales reports
  • Assembles internal sales reports
  • Tracks artwork projects to ensure timelines are met
  • Schedules/updates meetings internally and with customers, takes notes and communicates updates and needs to the internal team.
  • Coordinates with the PMO to ensure new product launches are executed on time and without issues.
  • Coordinates with the CMO to ensure all market data needs are researched and filtered/sorted then organized and delivered in a customer-facing presentation.
  • Identifies risks/opportunities throughout projects and highlights them for discussion.
  • Pulls weekly fulfillment reports and works to ensure all regions are ordering all core SKUs.
  • Pulls weekly short report and sends update to Whole Foods/Tony’s Teams each Friday.
  • Receives and sorts/filters the raw monthly complaint data from customers and presents this data in a clear and concise format.
  • Manages forecasting and works with customers to gather forecasts for current, new and returning items.
  • Creates and manages Gantt charts for non-NPD related tasks (example – meeting prep including mock-ups, samples, meeting invites, meal coordination, communication to site leadership regarding tours and site visits)
  • Completes sample requests for BME’s, new development, photo shoots and events
  • Oversees BME coordination and ensures successful execution – prior to sending product to customers the product must be the correct weight, lot codes are correct and are visible on the packaging, the samples go out on time and COA’s are provided for the first production approval review.
  • Manages additions and updates in Basecamp including finished item specifications, reference document updates and BOM updates, reviews and approvals.
  • Manages all tasks related to customer portals and ensures timelines are being met by cross functional team for new items, seasonal items and product updates.
  • Works with Finance to update pricing files 5 times per year, update New Product Forms, Distributor/Customer Portals and PLOGs.
  • Submits and tracks all Product Change Orders (PCOs) for labels, raw materials and recipe changes.
  • Reviews and provides feedback on new and updated labels through Proof HQ and acts as a liaison between the customer and Label Coordinator.
  • Collects information, reviews back-up, works with KC AR and works directly with the customer to resolve unauthorized deductions.
  • Assists with presentation decks, data collection, materials and planning of key customer meetings.
  • Receives, formats and analyzes customer inventory position and communicates risks.
  • Responsible for requesting, reviewing and analyzing customer forecasts and providing updates to Director of Demand Planning on a bi-weekly basis.
  • Send weekly OTIF reporting data to key customers.

SKILL REQUIRED

  • College Bachelors degree required and/or equivalent work experience is needed. PMP certification a plus.
  • Proficient working knowledge of Excel, Word, Outlook and PowerPoint
  • Attention to detail.
  • Desire to be proactive and create a positive experience for others.
  • Technically proficient in analysis and data modeling as well as guidance with all forecasting.
  • Ability to build and manage collaborative relationships.
  • Establishes and nurtures relationships to meet and exceed the expectations of key stakeholders and customers.
  • Working knowledge of the US retail food market.
  • Strong business acumen and sound judgment.
  • Ability to accurately assess business situations and customer/industry trends; makes timely decisions.

  • Less than 25% travel is required for this position. Travel may include out-of-state and overnight stays.
