Job Summary

Quality Assurance Administrative Coordinator is responsible for managing the administrative aspects of a quality assurance program, including maintaining documentation, tracking data, and coordinating communication to ensure compliance with established quality standards and regulations within an organization. They primarily focus on the administrative tasks that support the overall quality assurance function and ensure smooth operation and accurate recordkeeping. This person ensures all records pertaining to HACCP, HARPC, Quality as well as Pre-requisite programs and SSOPs are reviewed for accuracy and any deficiencies are identified and records are available and accessible for complaint investigations.  

Duties and Responsibilities

  • Pre-shipment paperwork reviews: Conducts pre-shipment review of all HACCP and pre-requisite program records, ensuring the Food Safety and Quality of products manufactured at the Lynn, MA facility.  
    • Identifies deficiencies and deviations, elevates to Supervisor or Manager and issues corrective action notifications as needed. Communicating and Initiating quality hold products, as necessary.  
  • Document control: Maintains and updates quality assurance documentation, including procedures, policies, forms, and records, ensuring accuracy and accessibility.  
  • Complaint Investigation: Finds and removes stored pertinent product records in a timely manner when requested for customer complaints.  
  • Compliance monitoring: Ensuring adherence to relevant quality standards and regulations, including reporting any non-compliance issues to management.  
  • Training support: Assisting with the development and delivery of quality assurance training programs for employees.  
  • Communication and reporting: Communicating quality assurance findings and updating to relevant stakeholders including management and operational teams. 
  • Reporting: Communicates internal metrics to Plant Leadership and Corporate Kettle Leadership. These include Controllable Incidents, Complaints. Trend data, as necessary. 
  • Ordering - Manages all orders through a procurement system in support of the QA Department. Receives orders for payment. 
  • Inventory - Maintains vendor and equipment records for future orders and manages QA supply inventory. 
  • Issue maintenance requests as required. 
  • Assists QA Systems Tech and QA Manager with updates to SOPs, SSOPs, Quality and Food Safety Programs as requested. 
  • Reporting on internal and external Quality and Production related metrics. 

Required Skills

  • 2-year technical degree or related field experience. 
  • Computer skills – extensive knowledge of MS Office (Word, Excel, PowerPoint, Access) and e-mail system 
  • Inventory and database management (ERP) software experience preferred. 
  • Knowledge and understanding of HACCP and USDA/FDA regulations. 
  • HACCP certification preferred, Data Analysis and reporting of data, graphs, and charts. 
  • Ability to identify and create processes and write procedures. 
  • Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.
