Office Coordinator

Job Summary
Kettle Cuisine is seeking a responsible and experienced Office Coordinator with a “can do” attitude to join their Savage team. The right candidate will be responsible for managing all front desk needs while administratively supporting the office and various departments. As the first point of contact for many employees and visitors, the right candidate must be friendly, informative, warm, and welcoming, and be able to handle inquiries, complaints, and reservations with ease.
Role and Responsibilities
- Act as the first point of contact for all visitors, guests, vendors, board members, and team members.
- Answer and direct all incoming calls for Kettle Cuisine.
- Maintain conference rooms scheduling and assist with set up for meetings and events.
- Assist with tours and on-site events.
- Coordinate the distribution of all mail and packages both incoming and outgoing.
- Manage the inventory, ordering, delivery, and restocking of all office supplies.
- Clerical tasks include weekly check deposits, postage and UPS mailings, scanning, and filing.
- Communicate with various executives and departments via email, phone, and Teams.
- Manage desk assignments, including visitor desk reservations.
- Assist with office pantry refresh and restock.
- Updating of employee phone directories and other databases.
- Oversee badge system (creating, distributing, deactivating, and auditing access) for employees, temporaries, contractors and visitors.
- Assist with new hire orientation preparation, training sessions, and administrative tasks/projects in support of the site as assigned.
- Coordinate plant postings/notices using available platforms.
Necessary Skills:
· High School diploma or GED required.
· 3+ years administrative experience working in an office environment.
· A positive, courteous, “make it happen” attitude.
- Excellent customer service abilities, presenting a professional and welcoming first contact to clients, vendors, board members, and staff.
· Ability to work with various personalities in an office setting.
· Proficient in Excel, Outlook, Word, Teams, and PowerPoint.
· Resourceful Self-Starter.
· Excellent attention to detail and time management.
· Excellent verbal and written communication skills.
· Able to handle confidential and sensitive information.
· Attention to detail to submit work and send communications without error.
· Adaptability and flexibility to adjust priorities and work hours depending on the needs of the business.
· Strong organizational skills to manage multiple needs and tasks at one time.
· Good problem-solving skills and the ability to take initiative where appropriate.
· Ability to sit for extended periods of time at a reception desk.
· Ability to lift, carry, and move packages up to 25lbs.
LEVEL OF RESPONSIBILITY
· Works under some supervision and has some decision making responsibility.
· Position is not responsible for influencing the decisions or actions of others.
· Position has indirect contact with customers on matters of little impact on revenue.
· Position has little or no impact on revenue, actions and results are subject to review or inspections.
· Decisions or actions have a limited impact on the business. – typically within a department. Errors are usually detected through routine verification/review, but may result in some work flow disruption or repetition of work.
SUPERVISORY RESPONSIBILITIES
· Position is not responsible for supervising or influencing the actions of others.

· Work requires daily physical exertion including lifting of objects weighing up to 50 pounds.

· Work requires continuous visual effort for extended periods of time.
Work Environment and Hazards
· Employee typically works in a normal office environment free from noise and hazards.
· This position has some exposure to hazards that might cause minor injury.
· Travel is not required for this position
