Job Summary

Reporting to the Accounts Payable Manager, the Accounts Payable Specialist is responsible for managing the full cycle day-to-day transactions for the accounts payable processes. The role will be hybrid and require occasional travel to Lynn, MA corporate location.

Duties and Responsibilities

Accounts Payable:

  • Review and resolve exceptions in APSmart/CloudX, invoice approval and automation system
  • Process daily upload from APSmart system into ERP
  • Reconcile and validate that information from APSmart is reflected completely and accurately in ERP
  • Manually Process PO and non-PO invoices not captured in automation as well as weekly expense reports
  • Assist with Accounts Payable Manager in creating and maintaining vendor master data
  • Reconcile vendor statements
  • Review and resolve AP shared mailboxes daily
  • Create weekly payments runs ensuring no duplications and payment accuracy
  • Process manual payment through various web portals (i.e. utilities, leases, etc.)
  • Review bank activity and reconcile all payments in system
  • Additional duties as required.

 

Required Skills

  • Associates/Bachelors degree preferred
  • Minimum 3-5 years experience in AP
  • Must be proficient with MS Office programs, specifically Excel and Outlook
  • Familiarity with specific ERP systems and other tools not expected; ability to learn new tools is important
  • General understanding of automation systems – conscious

Responsibility

  • Works under general supervision. Makes decisions within clearly prescribed areas referring matters that fall outside that area to others.
  • Recommends actions and alternatives to supervisor and others.
  • Receives customer and vendor questions and responds within prescribed areas of knowledge.
  • Cross-trains other employees and answers questions from co-workers, but is not responsible for performance management.
